Description:Summary of Duties:The Fleet and Parts Coordinator is responsible for all vehicles and equipment at Pitt Race. This person ensures that all vehicles, rental karts, tractors, mowers, golf carts, and other facility equipment are in good working condition and presentable for customer and staff use. Organizing inventory, scheduling routine maintenance, and troubleshooting urgent repairs are integral functions of this position. Great communication and computer skills are necessary for success in this position.Reporting Relationship: The Fleet/Parts Coordinator reports to the Accounting / HR Director and works closely with mechanics and the Track Operations Manager. Working Conditions: The Fleet/Parts Coordinator generally works indoors but may be exposed to inclement weather conditions throughout the season as responsibilities require.Primary Duties:These responsibilities are intended as a general illustration of the work performed in this job classification and are not all inclusive for this position. Items listed are your priority but do not exclude you from offering assistance to other Pitt Race programs/employees when needed.

  • Directly manages and is responsible for the Pitt Race vehicle fleet, rental karts, tractors, mowers, golf carts, and other facility equipment.
  • Manage vehicle inspections
  • Schedule regular maintenance on vehicles and equipment and perform basic repair and maintenance tasks.
  • Prioritize urgent/emergency repairs based on facility needs.
  • Source, purchase, and maintain necessary inventory of tools, parts, and accessories for facility vehicles, equipment, and karting fleet.
  • Organize and maintain inventory storage areas.
  • Track order status and delivery date in order to receive all orders and ensure shipments are accurate and undamaged.
  • Ensure needed commonly needed parts are available for repairs and routine maintenance so as not to delay rental sales and regular maintenance jobs.
  • Review damage reports, prepare or review repair cost estimates, and plan work to be performed.
  • Keep accurate service logs reporting repairs and maintenance.
  • Implement and track all documentation per the Department of Agriculture requirements.
  • Monitor the condition and appearance of all facility vehicles, equipment, and karting fleet.
  • Report any concerns to the Accounting / HR Director.
  • Adhere to PIRC safety policies and personal protective equipment usage guidelines.
    • High school diploma or GED.
    • Mechanical aptitude and problem solving skills. (Previous experience as a mechanic or related schooling/training is preferred.)
    • Organized, responsible, and reliable.
    • Ability to communicate well with suppliers and coworkers.
    • Ability to schedule and organize routine maintenance for various equipment and prioritize repairs.
    • Ability to operate a wide variety of vehicles and equipment.
    • Working knowledge of Microsoft computer products.
    • Willingness to work weekends in the peak season.
    • Able to walk or stand for extended periods of time and lift at least 50 lbs.
    • Valid driver's license.
