The Donor Relations Specialist ensures the effective operation of
the organization's development efforts. This position builds and
strengthens volunteer and donor partnerships and increases revenue
through donor cultivation and stewardship, including donor
recognition and cultivation events. In addition, this position is
responsible for a variety of comprehensive development functions
that correspond to the identification, cultivation, solicitation
and stewardship of prospects and donors.
--- Facilitates, in partnership with senior leadership, fundraising
efforts across service territory of western PA and northern WV.
This includes execution of development plan including stewardship
and cultivation of corporate, foundation and individual donors.
Track status of relationships and action items.
--- Work closely with education team to continue to cultivate
relationships with current and prospective educational partners
including soliciting financial support, securing volunteers, and
establishing community partnerships.
--- In partnership with senior leadership, plan and execute JA
annual fundraising campaign including drafting letters, compiling
mailings and tracking campaign performance to provide reports.
--- Oversight of constituent relationship management platform
(BCRM) including input and updating of biographical and financial
data, running of reports and timely acknowledgement of
--- Administration of JA's 1939 Society, a special membership and
recognition program for individual donors, including planning and
execution of member events in partnership with events team,
communicating with membership, identification of prospective
members (including JA Empowerment LLC investors), and tracking of
information pertaining to Society.
--- Tracking funding submissions to foundations and corporations
including follow-up reports.
--- Prospect research on potential and current partners and work
with senior leadership to formulate plans of action for
--- Provide administrative support for JA's Young Professionals
Board including maintaining lists,
compiling agendas, etc.
--- Maintain physical donor communication materials and inventory
of general Development team supplies.
--- Provide general clerical support, such as word processing,
proof-reading, copying, filing, broadcast emailing, and tracking of
programs and schedules.
--- Answer general Development phone inquiries.
--- Provide professional assistance and interaction with donors
(via phone, computer and face-to-face).
--- Provide support when acknowledging appropriate financial and
in-kind donations by correspondence.
--- Support fundraising staff to generate development reports from
database (sponsors, major donors, individuals, lapsed donors,
--- Schedule and assist with various staff and volunteer leadership
--- Prepare gift acknowledgement letters, Board Thank You notes,
New Donor Letters, Anniversary Cards, and make Thank You calls.
--- Prepare online donation pages as specified.
--- Assist with formatting appeals and newsletter data (quarterly
paper and monthly electronic).
--- Compile mailing lists.
--- Update affiliate website as specified.
--- Maintain thorough and accurate database records and create
fundraising reports and other database reports as needed.
--- Provide fundraising support to committee/board and team
meetings, including document creation, donor research and donor
--- As appropriate, provide prospect research for Executive Vice
President, President and Development department.
--- Assist fundraisers with the planning, strategy and
implementation of mailings and other
--- Database support including serving as donor database subject
matter expert, with responsibility for infrastructure, protocols,
data entry systems, gift processing and report writing (BCRM).
--- Identify and implement processes and improvements to ensure the
integrity of the database, including troubleshooting/identifying
inconsistencies and making corrections.
--- Work closely with Accounting and Volunteer Coordinator teams to
ensure integration of department activities.
--- Specific tasks include:
o Build queries / segmented lists.
o Run reports.
o Maintain account contact/journal records.
o Implement moves management tracking and communication
--- Work with Accounting Department to create database queries that
support audit schedules and various monthly, quarterly, and annual
accounting reports; monthly reconciliation between accounting data
entry; year-end donation audit schedules.
--- Work with organization leadership to conduct database
management trainings to increase database skill and generate
organization-wide database procedures and expectations (in
conjunction with critical staff).
--- Represents organization in an appropriate, positive and
professional manner, maintaining
confidentiality of privileged information.
--- As a member of the Development Department, a percentage of time
will be allocated to administrative efforts including: cold
calling, attending networking events, prospecting, and creating
department progress reports.
