Job Description Job Description Job Title: Service Dispatcher & Operations Coordinator About Us We are a premier electrical and low voltage contracting business serving the Ohio Valley. We pride ourselves on technical expertise and reliable service. We are looking for an organized, clear communicator to manage our service desk and serve as the logistical hub for our operations. The Role This is not a standard receptionist role; it is the "Command Center" of our daily service operations. You will be the primary voice our customers hear and the support system our technicians rely on. Your main goal is to keep our Service Technicians moving efficiently while ensuring our Project Managers' calendars are organized for new quotes. You will also handle the essential financial tasks that keep jobs moving, including invoicing and entering accounts payable into our accounting system. Key Responsibilities Service Dispatching: Act as the primary dispatcher for our Service Technicians. Monitor technician locations and status to ensure efficient routing and timely service. Customer Communication: Answer incoming calls with professionalism, routing them to the correct department or handling service requests directly. Calendar Management: Field requests for new quotes and schedule appointments on Project Managers' calendars, utilizing specific "time blocking" strategies to maximize their efficiency. Invoicing & Finance: Review completed service tickets to assist with generating accurate invoices. Finalize and send out invoices via our accounting software. Enter Accounts Payable (AP) invoices, ensuring costs are coded to the correct job numbers. What We Are Looking For Experience: Previous experience in a dispatch, service coordination, or construction office role is highly preferred. Software Skills: Familiarity with web-based service dispatch software and/or construction accounting software is a major advantage. Proficiency in Microsoft Office (Outlook/Excel/Word) is required. Proficiency in editing PDFs is a must. High-Level Organization: You must be able to juggle incoming calls, technician schedules, and paperwork without losing track of details. Communication: You need a clear, confident phone manner and the ability to communicate information accurately to both customers and field crews.
